What are personal data?

Below we will describe how and why VVF collects and stores personal data. We have made every effort to make our description as exhaustive as possible.

We understand ‘personal data’ to mean ‘every bit of information which can be used to identify a person’. This includes business email addresses and IP addresses. This is why the GDPR applies to businesses as well as consumers.

What personal data do we collect?

When you:

  • register online for a give-away (for example an e-book)
  • complete an online test
  • fill in the contact form
  • request for a quotation or
  • order or enquire about any of our products or services

you will be asked to fill in certain data. In these cases, we will only process the data that have been provided by you. These can be any of the following:

  • First name and second name
  • Email address
  • Telephone number and/or Skype ID
  • Street name and house number
  • City

Why do we collect personal data, and what are they used for?

These personal data are collected and stored for the following purposes:

  • We use names and email addresses to share digital give-aways and online test results
  • We use names and email addresses to send tips & tricks, and news about our products and services.
  • When you fill in the contact form, we need your name, email address and telephone number to be able to respond to your request.
  • We use names and email and physical addresses to be able to invoice you when you buy a product or service.

By providing these data you authorise VVF to use them for the purposes described above. Moreover, several of these data are necessary to follow up on an agreement that requires certain services to be delivered to you. In other words, we process these data on the basis of Article 6 Par. 1a and 1b of the GDPR.

With whom do we share personal data?

Email provider

Personal data are stored on the servers of email provider Autorespond, a fully Dutch company. Autorespond is GDPR-compliant.

Retargeting

We also share data that we have acquired by website users having downloaded a free-of-charge document from our website with Facebook, so that we can develop targeted Facebook ads. More information about the privacy policy of Facebook can be found here. Facebook has the right to share your data with third parties in other countries (outside Europe). Safeguarding personal data

We have taken appropriate technical measures to safeguard personal data from loss or other forms of unlawful processing. One of these measures is the encryption of this website and any sensitive data supplied by its visitors through an SSL-certificate. Storage duration

We will not keep your personal data any longer than is necessary for the purpose for which we obtained them.

When you opt out of our email newsletters your name and email address will be added to an opt-out list. We will no longer send you any newsletters. Your name and email address will remain in our system until we have fully deleted the opt-out list. This will take one (1) year at most.

If you are a customer, (some of) your personal data will be included in our customer invoices. Customer invoices will be kept for the duration that is legally mandatory.

The stipulations mentioned in this section prevail unless there are legal obligations that require us to keep personal data for a period longer than the ones mentioned above.

Obligation to report data leaks

VVF is aware of its duty to report data leaks. We will report any loss of personal data to the appropriate authority in the relevant country. In the event of a serious data leak or personal safety being at risk we will inform the relevant persons as well.

Rights

You have the right to withdraw your consent for our processing of your personal data. Once you have withdrawn your consent we will no longer process your personal data. Your withdrawal does not apply to any data processed prior to your withdrawal. In other words, the legality of data processing that took place before your withdrawal is not compromised by your withdrawal.

You also have the right to access your personal data and correct them if necessary. If you would like to know what personal data we process please let us know in writing so that we can send you a copy of your data. Should the data processed by us be in any way inaccurate, incomplete or irrelevant, please inform us in writing so that we can make the necessary changes.

In addition, you have the right to get your data deleted; to limit the usage of your data; and to object to the use of your data. Furthermore, you have the right to data portability; this means that you have the right to get your personal data from an organisation in a way that is accessible and machine-readable, for example as a csv file. You also have the right to ask an organisation to transfer your data to another organisation. Write to us if you want to exercise these rights.

We reserve the right to make changes to this privacy statement. Changes will take effect on the date announced by us.
